Covid-19: Our Approach

April 3rd 2020

Pennycuick Collins are extremely concerned about the COVID-19 pandemic and
have been closely following government advice. To support and protect our team
members and their families during these times whilst ensuring business continuity and
the personal and high levels of customer service which we pride ourselves upon, we
have reviewed and updated our business continuity plan and implemented the

1. The office is closed for visitors and all team members are working from home

2. We are pleased that we have now launched our tenant portal where repairs
can be reported and payments made. Please register by visiting

3. Post is continuing to be scanned and distributed but we would request in the
first instance where feasible, email correspondence so that we can help you
as quickly and efficiently as possible. For this reason we would also request
service charge and ground rent payments where possible are made by BACS
instead of cheque.

4. All non-critical meetings such as AGM and EGM’s have been deferred. We do
have the facility to carry out meetings by MS Teams and Zoom and some
meetings are being undertaken through these facilities

5. All site visits have been temporarily suspended. If you do notice a repair please
report this to your management team or via the customer portal

6. The majority of our contractors are continuing to operate and this is being
monitored. No works will be undertaken in residents homes where they are selfisolating

7. Cleaners are paying particular attention to high touch points being the door
handles, light switches and lift buttons where is situ. Disposable cloths are being
used and some teams will not be vacuuming the floors but will apply a fine antibacterial
spray to the carpets or when mopping the floors

8. If you are aware of a confirmed case of COVID-19 in your building we would
request you alert your property manager. We shall then arrange for the
common areas to be deep cleaned by specialist contractors

These are unprecedented times and we are continuing to closely monitor this rapidly
changing situation and adapt out procedures accordingly. We would like to thank
you for your continued patience and understanding.
